The C40 Cities Climate Leadership Group, now in its 14th year, connects 94 of the world’s greatest cities which have committed to tackling climate change. We bring mayors from around the world together to learn from each other in reducing greenhouse gas emissions and creating resilient, sustainable and low carbon cities. C40 cities represent more than 700 million urban citizens and their economies account for 25% of the global GDP. C40’s ‘Deadline 2020’ report sets out the critical role that the world’s major cities have to play in delivering the historic Paris Agreement to prevent catastrophic climate change.

C40’s team of 180+ staff is headquartered in New York, with offices in London, Rio de Janeiro, Copenhagen, Beijing and Paris and individual staff based across 25+ different locations. C40 is primarily funded through the generous support of philanthropic foundations.

The strategic direction of the organization is determined by an elected Steering Committee of C40 mayors which is chaired by the Mayor of Paris, Anne Hidalgo. Three-term Mayor of New York City Michael R. Bloomberg serves as President of the C40 Board of Directors, which is responsible for operational oversight. An eight-person management team, led by Executive Director, Mark Watts, leads the day-to-day management of C40. The Role

The successful intern will provide day-to-day administrative as well as project management support to the organization’s Corporate Services functions and report to the Operations Development Manager. The C40 Corporate Services department serves as the non-programmatic support mechanism to the global organization to ensure efficiency of day-to-day business practices. The team works collaboratively with C40 senior management and staff in providing support and guidance in human resources, information technology, grants management, budgeting, accounting and other administrative functions in accordance with C40’s internal policies, procedures and donor regulations.

If selected, working a 40-hour week, s/he will have the opportunity to develop skills and understanding in a range of subject areas, gaining valuable experience working with international colleagues in a fast-paced and exciting global not for profit organization.

Responsibilities

The responsibilities of the role will include:

  • Be the first point of contact for the Legal team and manage the Legal ticketing system:
    • Assign legal tickets to appropriate team members throughout the grants and contracts review process;
    • Review new supplier procurement forms, statements of work, and supplier contracts before contract execution for low value contracts;
    • Coordinate contract finalization and execution between the Legal Team and C40’s authorized signatory;
    • Assist in developing a process of flagging up potential risks and regulations to monitor for upcoming project manager’s programmes or projects before contracts are drafted.
  • Review the high-risk itineraries and assessment forms sent through the travel risk monitoring process and work with the internal C40 risk team to monitor accordingly.
  • Fulfil facilities requests, such as badge access for new hires and guests as well as meeting room bookings:
    • Manage the monthly hot desking process in both the London and New York offices.
  • Support the Head of Operations in:
    • Special projects throughout the year such as additional hiring analyses and office; openings in new countries;
    • Review of new funding and sponsorship agreements.
  • Undertake any other projects and tasks as determined by the Operations Manager.

Person Specification

  • Educated to at least first degree level/ Bachelor’s Degree.
  • Strong problem-solving and strategic thinking capabilities and a delivery-oriented approach.
  • Great attention to detail, forward thinking and ability to identify inefficiencies as well as propose improved methods or processes of work.
  • Strong organizational skills and can prioritize and manage a variety of tasks for short term day to day goals as well as long term future project completion goals.
  • Works well independently and thrives without constant management; can confidently take ownership of projects.
  • Strong interpersonal skills and the ability to engage professionally with staff, external suppliers, funders, etc.
  • Strong written and verbal communication skills.
  • Curious, eager, and interested in working on global projects and to maximize learning on the job.
  • Preferred to have experience with general office applications such as Microsoft Office, Google Docs, Google Mail (G Suite), etc.
  • Preferred to have interest in environmental and sustainability issues and/or working in the charity/not for profit sector
