Centre Administrator – Centre for Rural Creativity

Job Description The Centre Administrator is responsible to the Director of the Centre for Rural Creativity and will provide a high quality, professional, effective and confidential secretarial and administrative service to the Centre for Rural Creativity staff (Director, Research Fellows and project staff), and act as the first point of contact for the Director. More detail is provided in the Job Profile, Person Specification and Conditions of Service Summary attached to the bottom of this advert. Please follow the link(s) below for further information – Requirements • The grade of this post is F • Rate of pay shown in the advert is inclusive of Distant Islands Allowance of £1.0846 per hour • Temporary Part Time post for 22.2 Hours per Week, 52.18 weeks per year. Temporary contract for a period of approximately 12 months. This is for the duration of a period of family leave, and will terminate following the return to work or resignation of the postholder • A relocation package does not apply to this post • We will pay interview expenses from within Shetland • Not suitable for Job Share • Not suitable for Remote Working During the application process you are required to give the names of two persons not related to you, who we can contact to provide a reference to support your application. For further details relating to this post, please contact: Susan Berry, Depute Principal, Responsibilities Duties include: • Provide confidential secretarial and administrative support to the Director and a high quality confidential telephone and reception service. • Use verbal communication skills, personal presentation and interpersonal skills to deal with, wherever possible, queries from disparate stakeholders, including staff and students of UHI Academic Partners, Executive Office, HIE, Creative Scotland, The Scottish Government and a variety of other partner agencies. To pass the query on to the appropriate member of the Centre when necessary. • Deal with and prioritise appointments, messages and queries relating to members of the Centre. • Use computerised software packages and e-mail/internet/intranet facilities as required by members of the Centre to produce documents, which require Word Processing, Desktop Publishing, Graphic, database or presentation formats. • Use Integra to process purchase orders and invoices. • Ensure all preparatory work for members of the Advisory Board is arranged in advance and that documentation is available when required. The Individual Applications are invited which can demonstrate the following: – Possession of an SVQ2/Highers (or equivalent) in relevant subjects e.g. Business Studies – Experience in a finance related post – Experience of minute taking. – Excellent interpersonal communication skills – Ability to work flexibly
